Building a real-time lab order management platform for a multi-facility mobile phlebotomy operation

The Challenge

Before partnering with us, coordinating a day of draws meant stitching together the LIS, phone calls, printed manifests, and the memories of individual dispatchers. Orders flowed into the lab's LIS, but everything after that — who would collect each specimen, whether it had been collected, why a draw didn't happen — lived outside any system of record.

The friction showed up everywhere:

  • No single view of the day's orders. Dispatchers couldn't see all incoming lab orders in one place, filter them by facility or status, or know at a glance which orders were assigned, collected, or still waiting.
  • Assignment ran on phone calls and habit. Routing orders to phlebotomists depended on who a dispatcher could reach, not on availability or location. When plans changed mid-route, the office often found out after the fact.
  • The field was invisible. Once a phlebotomist left for the day, there was no reliable record of where they were, which draws were done, or which facilities still needed a visit.
  • Refused and missed draws vanished. When a patient refused or was unavailable, the reason was rarely captured consistently — and never with a facility nurse's sign-off — leaving the lab and the facility to reconstruct events later.
  • Labels were a re-labeling exercise. Specimens arrived at the lab with labels that didn't match the LIS, forcing staff to re-label samples before processing — a slow step and a real mislabeling risk.
  • STAT orders got the same treatment as everything else. Urgent orders had no distinct visibility, so keeping them on track depended entirely on human vigilance.


Clearpoint's collection operation was growing. What they needed was an operational backbone that could keep pace — one that connected the LIS, the dispatch office, and every phlebotomist in the field.

Our Solution

We designed and built a centralized Lab Order Management Platform — a web-based operator portal, a phlebotomist mobile app for iOS and Android, and a live integration with the lab's LIS — so that every order is visible, assigned, tracked, and auditable from intake to completion.

  • One dashboard for every order: Lab orders now flow automatically from the LIS into a central operator portal the moment they're created. Dispatchers see every order in real time, filtered by status, facility, region, or assigned phlebotomist, and watch each one move through a defined lifecycle — Received, Assigned, Acknowledged, Printed, Picked Up, Completed — with nothing falling through the cracks.
  • Assignment and routing built for the field: Operators assign orders to specific phlebotomists with full visibility into who's available and where they last were. As phlebotomists work through their day, every action syncs back to the portal in real time, so the office and the field are always looking at the same picture.
  • A mobile app that works the way phlebotomists do: Each phlebotomist logs into a secure mobile app showing their assigned orders in both list and map views. On site, they print specimen labels on the spot with a Bluetooth label printer, then mark each order as printed, picked up, collected or not collected — with every action automatically timestamped.
  • Barcodes the lab can trust: Labels are generated from a sample ID that carries through every system, so specimens arrive at the lab ready to process — no re-labeling, no transcription, and real-time synchronization back to the LIS the moment a specimen is collected.
  • Refusals with a paper trail: When a draw can't happen, the phlebotomist records the reason — patient refused, patient unavailable — and captures the facility nurse or designee's sign-off right on the device. The exception is documented at the bedside, not reconstructed days later.
  • STAT orders that stay visible: Urgent orders are flagged STAT at intake and stay visibly STAT through the entire lifecycle — on the dispatcher's screen, in the phlebotomist's queue, and on the dashboards — so the most time-sensitive work is always in front of the right person.
  • Field operations, accounted for: The platform tracks clock-in and clock-out, verifies arrivals at facilities, calculates mileage automatically, and helps sequence draws efficiently within each facility — turning field operations data that used to live on paper into something leadership can actually use.
  • Dashboards, audit history, and exports: A real-time operations dashboard gives dispatchers live order counts by status, while a performance dashboard lets leadership drill from facility to phlebotomist to individual order — volumes, turnaround times, and refusal rates. Every order carries a complete, timestamped audit trail of who did what and when, exportable to CSV or Excel whenever it's needed.

The platform now runs the full operational arc of Clearpoint's collection business — from the moment an order lands in the LIS to the moment the specimen is completed — on a single, integrated system.

  • Every order accounted for, in real time. Dispatchers see the whole day at a glance; nothing waits unnoticed and nothing gets lost between the LIS and the field.
  • The lab and the field finally speak the same language. Automated LIS intake and collection-time status updates eliminated the gap between what the lab ordered and what the field reported.
  • Specimens arrive ready to process. Sample-ID barcodes carried across systems removed the re-labeling step at the lab — faster processing and lower mislabeling risk.
  • Exceptions are documented, not debated. Refused and not-drawn cases now carry reason codes and facility sign-off, giving the lab, the facility, and the care team a shared record.
  • STAT means STAT. Urgent orders are visible from intake to completion, so time-sensitive draws get time-sensitive handling.
  • Leadership can finally see the operation. Turnaround times, volumes by facility and phlebotomist, and refusal patterns are now measurable — the foundation for staffing, routing, and growth decisions.

The result is a collection operation where the office, the field, and the lab work from one source of truth — and where a growing multi-facility business runs on a platform built to grow with it.
